(hereinafter referred to as “SPOracles” or the “Company”), is committed to respect your privacy and to comply with applicable data protection and privacy laws. This privacy policy (“Policy”) describes how we collect and use personal data where SPOracles is the data controller or where we refer to the applicability of this Policy. “Personal data” means information relating to you or another identifiable individual.

We will give you additional privacy information or sign express Non-disclosure agreements (NDAs) if you start working directly with us that would be specific to our work. If there is a difference between such notices or NDAs and this Policy, the notices should be considered first.

If you do not agree with this Policy, do not use our products and services or provide SPOracles with your personal data.

What Information Do We Collect?

1.1 How we collect your personal information

1.1.1Information which you provide to us

This information is generally provided by you when you:

  • Fill in forms on our website or our apps, for example to register an account, to sign up for a mailing list, make an application for employment, add to comments section, complete surveys or testimonials and/or request any information from us.
  • Communicate with us by telephone, email, social media etc The information you give may include biographical information (your name, title, date of birth, age and gender, academic institution, affiliation, job title, subject specialism), contact information (email address, mailing address, telephone number) and financial or credit card details. When a user creates a profile on SPOracles.com, the user accepts that personal information will be stored on the servers that are used by the Company and parts of this information once it is anonymized could be shared with other stakeholders.

1.1.2 Information we collect about you

When you access our website, the web servers automatically create records of your visit. These records typically include IP-address, access times, the sites linked from (if any), pages visited, links and features used, the content viewed or requested, browser or application type, language and other such technical information. Please refer to our Cookie Policy below for further information. You can disable cookies through your web browser’s settings and still access our websites, with certain technical limitations.

1.1.3 Information from other sources

Data analysis partner such as Google who analyse visits to our websites and apps. This includes browser type, browsing behavior, type of device, geographical location (only country). This does not include any personal information of the website visitor.

1.2 How we use your information

We may use your personal data to provide you with our services, to process your requests, to ensure the security of our services, as well as to identify you as a registered user/visitor to the website. Also, this information may be used to prevent, investigate and identify cases of fraud and/or other activities that may be considered illegal.

1.2.1. Our services require an account in order to access and use our services, as well as manage the information you upload or otherwise provide to the website. In respect to any and all information uploaded or otherwise provided to the website, you warrant that there is a duly obtained consent from the data subject whose information is being uploaded/provided. You are hence fully liable in respect to any claims that might arise in respect to the latter.

1.2.2 Your Name and email: This information is used as your identity on the portal. The user's email address is also used to send emails to the user based on the information requested on the user's Dashboard, as well as notices relating to any changes to our services. We may also contact you in order to conduct market research.

1.2.3. Devices, browsers and other software that you have already provided with consent to show customized content and advertisements based on your browsing and search history, may have access to certain information you exchange with us, for which the SPOracles has no liability.

1.3 Sharing your information with third parties

1.3.1 We do not disclose or share your personal information for marketing purposes to any company outside the ones which are working with us for developing and improving the quality of SPOracles services.

1.3.2. We may share your personal data with our affiliates or authorized third parties for the purposes of timely providing our services in the best possible manner.

1.3.3. We may be obliged by applicable mandatory provisions to disclose your personal information to certain authorities or other third parties in the countries where we or our agents operate. We may also disclose or otherwise use your personal data for the protection of SPOracles’ legitimate interests, should the latter be constituted a party to any legal proceedings.

1.4 Transfer outside the European Economic Area (EEA)

We do not transfer personal information to any third partywithin or outside the European Economic Area (EEA).

1.5 How to ensure the quality of information and where is it stored?

Since each account is responsible for the accuracy of the information provided through its use, we encourage you to regularly access your profile and maintain the details up to date, so we can provide the services requested without delay. Your personal data is stored by SPOracles electronically on our servers/cloud-based storage, hosted by TransIP and Webflow merely for the purpose of providing our services to you.

1.6 How long do we keep your information

We retain information for the period you use your account and 5 (five) years after your last log in to that account.

You have the right to withdraw consent at anytime, and  to erase, restrict use of or modify your individual data from our records by sending us email request to dataprivacy@sporacles.com To receive information that we hold about you, an email request should be sent to userdata@sporacles.com

Please be advised that deletion may have limited application, based on the fact that data processing is required in order to comply with different legal obligations, detailing data processing activities; for archiving purposes of national importance, or for the purposes of scientific/historic research or investigation, or statistical purposes, as well as in relation to any court proceedings, to which SPOracles is constituted as a party or is otherwise involved.

1.7 Safeguarding your personal information

We take appropriate steps to address online security, physical security, risk of data loss and other such risks taking into consideration the risk represented by such data processing and the nature of the data being used and protected under the highest standards for the successful provision of our services. We limit access to our databases containing personal data to authorized persons and university representatives, who have justified grounds to access and process this information in order to reach clear predetermined goals.

1.8 Data Protection Officer

In order to ensure full compliance with the General Data Protection Regulation EU No. 2016/679 of the EU (“GDPR”), SPOracles has appointed a Data Protection Officer (“DPO”). It has a duty to maintain high level of expertise in the applicable data protection regulations, including the GDPR. The DPO is responsible to monitor and communicate any data protection issues to the relevant Data Protection Authority, and to report regularly to the highest level of management. SPOracles hereby declares that the DPO does not carry out activities that do or may result in a conflict of interest, has good legal standing and relevant capacity to hold the office appointed.

Since a significant amount of our services are carried out online, our website may use cookies and other similar technologies in order to operate and improve the user experience that would best suit your needs. Cookies may also be used for the purposes of content personalization and to display relevant ads.
